Numbers and names add time, so give us the list early in the season rather than the week of the first game.
How much lead time for a weekend event?
Work backwards from Friday, not Saturday. We’re closed weekends, so a Saturday event means the real cutoff is Friday at 10:00 AM. Give yourself a day of slack if you can: the one thing that can’t be fixed at 4:59 on a Friday is a Friday afternoon order.
